Austria’s largest NGO, the Austrian Red Cross, has been at the heart of humanitarian aid since 1880. Facing Administrative Overload in a Growing Humanitarian Organisation

Managing the finances of such a large and complex organisation came with significant challenges, particularly as the organisation continued to expand. The finance team, responsible for overseeing the expenses of over 600 employees, many of whom work internationally, found themselves buried under ever-growing stacks of spreadsheets, receipts, and manual expense reports. The team was pouring countless hours into managing expenses manually, time they could have spent on strategic initiatives to directly support those on the ground, whether in Ukraine, during the Covid-19 pandemic, or at other critical sites where aid was urgently needed. “We were spending our time on administrative tasks instead of focusing on our mission,” Gabriela Loreth-Kurz, Head of the Finance Team at Red Cross Austria, explains.
As a non-governmental organisation, Red Cross Austria is also held to high standards of financial transparency. Public trust and donor confidence depend on clear, accessible records of how funds are used— this added an extra layer of complexity to an already strained system. What once took days is now processed in a fraction of the time, thanks to Yokoy’s automated workflows. “We’ve created more capacity for the team, reduced time spent on admin, and can now track every euro spent across the organisation,” Gabriela explains.
